Know which document is waiting, and who can move it forward.

A fictional membership application reaches a committee reviewer, who returns a document for correction. The applicant replaces it while a volunteer changes role. Staff now need to know which version was reviewed and who may make the decision. Uploading a file does not answer either question.

Connect the version to the decision

We map receipt, requested correction, replacement and review as distinct events. The record should identify the version behind a comment or decision, rather than showing only the newest attachment under an unchanged name. Your association determines approval authority and the meaning of the recorded decision; we do not turn a technical status into a professional qualification or legal signature claim.

Choose the lightest useful workflow

A controlled exchange using existing storage may be enough for a small review team. A portal becomes more useful when applicants need a reliable status view, several reviewers have different permissions or replacements repeatedly lose their context. We compare those needs before recommending another application to maintain. Existing storage depends on its actual access controls and supported interfaces.

Follow the departing reviewer's access

Acceptance includes the returned document, its replacement and removal of a former volunteer's role. We check direct file requests and notifications as well as the review screen. Previously downloaded material cannot simply be recalled; handling, retention and privacy decisions belong to the responsible organisation and any advisers it needs.

Bring a fictional application with one correction and two reviewer roles. The handover explains who can return material, change responsibility and resolve a disputed status. A broader membership portal can be assessed separately from this document journey.
