Send the operating problem, not a feature wishlist.

A useful first packet can fit in one email. It should let both sides decide whether configuration, integration, automation, bespoke work, modernisation or controlled deferral deserves deeper discovery.

Copy these headings

The minimum supplier-ready brief.

1. Operation

What starts the work? Who participates? Which tools and records move? What means it is complete?

2. Failure

Where does the route slow, duplicate, disappear, expose risk or rely on undocumented knowledge? What is the consequence?

3. Constraints

Record immovable dates, systems, integrations, access, budget assumptions, recovery needs and required internal approvals.

4. Data

List the record types, special categories if known, current locations, UK controller and any existing processors or overseas access.

5. Evidence

Provide a redacted example, current procedure, screen recording, report or sample export that shows the real operation.

6. Owner

Name the person who can answer operational questions and the people responsible for business, privacy, finance or sector decisions.
